Risks of Paper-Based Forms
The issues in manufacturing sites that have not adopted electronic forms include three main points: "form creation," "sending or distributing created forms," and "management and storage." First, regarding "form creation," while it has the advantage of allowing for notes and high visibility, the challenges include the time-consuming nature of form creation, the tendency for errors to occur, leading to wasted paper, and other non-essential issues that seem prevalent.
Next, concerning the problems related to "sending or distributing," paper forms require the use of mail or fax to deliver them to the recipient. In the case of mailing, tasks such as printing, stuffing, and posting are necessary, and as the number of forms increases, the burden grows, making human errors more likely.
Finally, regarding the issues of "management and storage," paper forms must be physically stored within a limited office space. As the number of forms increases, securing and managing that storage space becomes more difficult, and some companies even prepare warehouses for storage. Additionally, since the number of paper forms increases daily, managing and filing a vast number of forms becomes cumbersome.
