[Case Study] necfru MAM/DAM Chemical Manufacturer

Reviewing the complicated procedures for sending SDS and quality certificates! Introducing a case where submission and storage have been centralized.

In a chemical manufacturing company, we would like to introduce a case where the external submission of SDS, analysis results, and quality certificates was reviewed using "necfru MAM/DAM." The external sending of SDS and quality certificates was done through ZIP attachments, making the submission process complicated and dependent on the person in charge. It took a long time to recheck past submission documents, and there was a disconnection between long-term storage and shared management. We designed tags based on product/lot/document type/expiration date and implemented time-limited publication and restricted access through URL sharing. We established an operation that ensures traceability of viewing/downloading through operation logs. 【Case Overview】 ■ Industry: Chemical Manufacturer (Chemicals) ■ Challenge: Submission procedures were dependent on the person in charge, leading to a disconnection between long-term storage and shared management. ■ Solution: Implemented time-limited publication and restricted access through URL sharing, ensuring traceability with operation logs. ■ Effects: - Reduced the effort for resending/rechecking. - Consolidated the operations for storage and sharing. *For more details, please download the PDF or feel free to contact us.

[Case Study] necfru MAM/DAM Medical Device Manufacturer

Easier to gather explanatory materials during audits! Transitioning to an operation that leaves a trace for external sharing of design documents and procedures.

This is an example of reviewing the external sharing of design documents, procedures, and change histories at a medical device manufacturer using "necfru MAM/DAM." The sending of design documents and procedures was dependent on the person in charge, and the use of ZIP attachments made it difficult to see sending records and reference histories. Weak version control also made it easy for outdated materials to circulate. We implemented tag management by product/document type/version/department, limiting the shared items to finalized versions only. We control the viewing range through URL sharing and permissions, and ensure traceability of sharing/viewing through operation logs. [Case Overview] - Industry: Medical device manufacturer (medical devices) - Issues: Sending records and reference histories are opaque with ZIP attachments, weak version control leads to easy circulation of outdated materials - Solution: Limited shared items to finalized versions only, controlled viewing range through URL sharing and permissions - Effects: - Made it easier to gather materials for explanations during audits - Established a state where cross-departmental searches are possible *For more details, please download the PDF or feel free to contact us.

[Use Case] necfru MAM/DAM Electronic Components Manufacturer

Suppressing the increase in Google Drive storage capacity! A case study of building a storage infrastructure that can be searched by model number/lot.

We would like to introduce a case study in which an electronic component manufacturer reviewed the storage infrastructure for inspection images, specifications, and measurement logs accumulated in Google Drive using "necfru MAM/DAM." As the number of inspection images and logs continued to increase, the Drive's capacity became strained, making it difficult to find current data among older projects. The control over external sharing was weak, and managing downloads was also a challenge. We organized a tag dictionary based on model number, lot, process, and inspection type, and gradually migrated long-term storage data to MAM/DAM. For external partners, we established an operation focused on viewing while controlling download permissions. 【Case Overview】 ■ Industry: Electronic component manufacturer (electronic components, semiconductors) ■ Challenge: The increasing number of inspection images and logs strained Drive capacity, and weak control over external sharing made download management difficult. ■ Solution: Gradually migrate long-term storage data to MAM/DAM, with external partners focused on viewing and controlled download permissions. ■ Effects: - Reduced time for re-searching and comparison - Standardized recovery procedures in case of incidents *For more details, please download the PDF or feel free to contact us.

[Use Case] necfru MAM/DAM Building Materials Manufacturer

Suppressing duplicate storage between branches! A case where completed projects were separated to long-term storage and capacity was reviewed.

We would like to introduce a case where a building materials manufacturer organized the long-term storage of drawings, construction documents, and test reports on Google Drive/OneDrive using "necfru MAM/DAM." Each branch had old documents remaining, leading to increased storage capacity, and it became difficult to determine the latest versions as current and past projects were mixed. There were concerns about capacity limits and mis-sending with email attachments, and the criteria for retaining documents were ambiguous. By tagging with product codes, projects, years, and revision history, current documents were kept on the work side, while completed projects were archived to MAM/DAM. Sharing with clients was limited to necessary areas via URL, and old and current versions were stored separately. 【Case Overview】 ■ Industry: Building materials manufacturer (building materials, supplies, fixtures) ■ Challenge: Old documents remaining at each branch increased storage capacity, and the criteria for retaining documents were unclear ■ Solution: Archived completed projects to MAM/DAM and limited client sharing to necessary areas via URL ■ Effects - It became easier to provide only the latest versions to the field - Reduced the risk of sharing accidents *For more details, please download the PDF or feel free to contact us.

[Use Case] necfru MAM/DAM Food Machinery Manufacturer

Separation of educational videos and old version materials for long-term storage! A case of reviewing capacity while keeping on-site use unchanged.

We would like to introduce a case study on the use of "necfru MAM/DAM," which has separated the user manuals, photos, and educational videos from Google Drive/OneDrive to a long-term storage side at a food machinery manufacturer. As the number of educational videos and photos increased, the synchronized storage became heavy, and outdated materials remained, creating a situation where the field could easily become confused. Customer-facing materials and internal documents were mixed, and the criteria for deletion were unclear, which posed challenges. By managing tags based on model, process, and revision date, current usage was separated for operational purposes, while older versions were moved to MAM/DAM. Photos and videos are stored in a way that allows for previewing, and a system was established to route long-term storage items to COLD. [Case Overview] - Industry: Food Machinery Manufacturer (Food Machinery) - Challenge: Synchronized storage was strained due to educational videos and photos, and the criteria for deletion were unclear, leading to continuous capacity increase. - Solution: Older versions were separated to MAM/DAM, and a system was established to route long-term storage items to COLD. - Effects: - It became easier to guide the field to only the latest versions. - Management of customer sharing and internal use could be separated. *For more details, please download the PDF or feel free to contact us.*

[Use Case] necfru MAM/DAM Printing and Packaging Company

Separation of large-capacity image/video materials to long-term storage destinations! A case that reduced the risk of misuse due to mixed versions.

This is a case study of utilizing "necfru MAM/DAM" in a printing and packaging company, where design data, proof PDFs, and image materials were separated from synchronized storage to a long-term storage destination. With the increase in capacity billing due to large volumes of image/video materials, it became difficult to find current projects as old version data remained. Materials were scattered across staff PCs and shared drives, making it challenging to confirm their whereabouts for reuse. Tags were organized by project/brand/item number/version number, and completed projects and approved data were migrated to MAM/DAM. This made it easier to check materials with the assumption of previews and separated current use from long-term storage. [Case Overview] - Industry: Printing and Packaging Company (Printing Industry) - Challenge: Increased capacity billing due to large materials, materials scattered across staff PCs and shared drives - Solution: Migrated completed projects and approved data to MAM/DAM, separating current use from long-term storage - Effects: - Reusing past materials became easier - The location of materials became clear, facilitating handovers *For more details, please download the PDF or feel free to contact us.

Reducing dependence on password-protected ZIP emails! A case study on reducing the risk of version differences and misdelivery through URL sharing.

We would like to introduce a case where the external sharing of drawings, inspection reports, and specifications was reviewed using "necfru MAM/DAM" at an automotive parts manufacturer. Previously, the main method of document delivery was through password-protected ZIP emails, which posed challenges such as the hassle of sending passwords, the occurrence of version discrepancies, misdeliveries, and requests for resending. After implementation, we designed tags based on part numbers, customers, document types, and versions, and switched to URL sharing for sharing with business partners. We have achieved an operation that allows us to retain viewing and sharing history through operation logs. [Case Overview] - Industry: Automotive parts manufacturer (automobiles and transportation equipment) - Challenge: Operations centered around password-protected ZIP emails led to frequent occurrences of version discrepancies, misdeliveries, and requests for resending. - Solution: Designed tags based on part numbers, customers, document types, and versions, allowing business partners to view only the necessary scope through URL sharing. - Effects: - Reduced the hassle of sending and resending documents. - Made it easier to track previously sent materials. *For more details, please download the PDF or feel free to contact us.

[Case Study] necfru MAM/DAM Electronic Components Manufacturer

Reduce the hassle of sending ZIP attachments and separate emails! Control document sharing with external partners and clients through URL sharing.

We would like to introduce a case where the external sharing of approval drawings, specifications, and inspection images was reviewed using "necfru MAM/DAM" at an electronic components manufacturer. It had become common practice to send ZIP attachments via separate emails to subcontractors and customers, leading to concerns about sending different model numbers and versions, difficulties in sending large files, and challenges in retaining a history after sharing. After implementation, we organized a tag dictionary by model number, customer, lot, and version, and controlled download permissions while focusing on viewing through URL sharing for external parties. We established an operation that visualizes who viewed what through operation logs. 【Case Overview】 ■ Industry: Electronic components manufacturer (electronic components, semiconductors) ■ Challenges: Concerns about sending different model numbers/versions, difficulties in emailing large files ■ Solution: Fixed sharing to only finalized versions and controlled download permissions through URL sharing for external parties ■ Effects: - Handovers with subcontractors and overseas bases are completed online - It has become easier to provide evidence during inquiries *For more details, please download the PDF or feel free to contact us.

[Use Case] necfru MAM/DAM Chemical Manufacturer

Establishment of a long-term storage foundation for irremovable quality records! A case of developing a separate storage facility from the BCP perspective.

We would like to introduce a case where a chemical manufacturer established a long-term storage foundation for SDS, analysis results, and quality records accumulated in OneDrive using "necfru MAM/DAM." As the number of quality records and SDS continued to increase, storage capacity became strained, and there were many documents that could not be deleted, making it impossible to adjust by deletion. The storage locations were divided by department, making reuse difficult, and the risk of data loss was a management issue. We designed tags based on product, lot, document type, and expiration date, and gradually migrated long-term storage targets to MAM/DAM. We finely controlled the viewing range by department through permissions and visualized costs and storage locations using HOT/COLD categorization. 【Case Overview】 - Industry: Chemical Manufacturer (Chemicals) - Challenge: Many documents could not be deleted, making it impossible to adjust by deletion, and the risk of data loss during incidents was a management issue. - Solution: Gradually migrated long-term storage targets to MAM/DAM and visualized costs and storage locations using HOT/COLD categorization. - Effects: - Search times during audits and inquiries have decreased. - Predictability of long-term storage has increased, making budgeting easier. *For more details, please download the PDF or feel free to contact us.*

Separate shared folders for each customer and set permissions - Example of using a document management system.

Case study for trading companies. Tag management of supplier specifications, drawings, and certificates by manufacturer/product. A case where sharing with customers became "safe and limited to only what is necessary."

We would like to introduce a case study of the implementation of our "necfru drive" at Company L, a trading company. At the company, the formats and storage locations of documents were not standardized for each supplier, leading to delays in responding to customer inquiries and resulting in lost opportunities. To address this, we designed tags based on manufacturer, product, document type, and expiration date, and set up separate shared folders (URLs) with permissions for each customer. As a result, the speed of responding to inquiries improved, and the rate of acquiring proposal opportunities increased. Additionally, this has contributed to a reduction in risks associated with sharing errors. [Case Overview (Partial)] ■Challenges - Concerns about the risk of mistakenly sending confidential documents - Difficulty in tracking the location of documents during personnel changes ■Response Measures - Only the latest versions are registered in the official repository for centralized update management - Sharing and viewing history are visualized through operation logs \Free helpful materials available/ *For more details, please download the PDF or feel free to contact us.
